Organizational Context:
Please note that this is a locally-recruited position, restricted to Swiss nationals and/or legal residents of Switzerland.

With its 192 member countries, the Universal Postal Union (UPU), a specialized agency of the United Nations, is the primary forum for cooperation between postal sector players. It helps to ensure a truly universal network of up-to-date products and services.
Main duties:
Under the supervision of the of the Business Development and Partnerships Expert, the job holder:
- maintains first level client support
- manages pre-sales activities (contract proposals/pricing)
- maintains Customer Relationships Information (CRM System) and assist the ASO Unit to organize regular publications
- prepares and follows up invoicing activities
- assists managers in various marketing and administrative activities.

1. First level client support (Customers, Prospects, IB Directorates, Member Countries and General Public),
- Respond to standard incoming questions on pricing rules and policies, available databases, terms of licence agreements, etc.;
- Manage first answers on ASO products;
- Manage in and out coming correspondences or emails from general public.

2. Pre-sales activities
- Provide standard pricing templates, commercial documents on partnership agreements to potential new customers;
- Draft standard or customized commercial proposals and contracts for signature according to expressed need, information collected on the requesting company, policies and instructions;
- Ensure good reception and monitor first level follow-up.

3. Invoicing
- Prepare and issue invoices, check settlements, follow up outstanding payments, send reminders, establish credit notes;
- Act as ASO focal point to DFI and its accountants: Gather and format necessary information requested by DFI on other invoicing issues, respond to accounting questions from DFI.

4. Customer Relationship Information Management (CRM)
4.1. Quarterly Products deliveries and dispatch
- Liaise with the ASO IT colleagues on the regular updates to be sent customers
- Prepare and monitor delivery to subscribers following contractual agreements
4.2. On-demand publications
- Check the information concerning the update and maintenance of the unit's Website and ensure their publication. Publish on request promotional and informational content.
4.3. Customers' Administration
- Maintain key information on all customers (addresses, focal points, key figures, etc.), on existing customers' and member countries' databases (history business tracking), checking consistency of information;
- On request:
Assist expert in identification of sources of information according to yearly business development plan (collect, verify, format/structure source addressing data according specific criteria).

5. Marketing and administrative activities:
5.1. Business Development
- Assist in the selection, preparation and participation of the Unit in professional exhibitions and forums;
- Assist the Unit in the analysis of info collected during professional exhibitions in order to extract useful key information for future technical development, marketing and sales activities;
- Assist the Unit in commercial contacts once professional exhibitions are over in terms of follow-ups, responses to business queries.
5.2. Administration
- Make proposals in the development and implementation of internal ASO procedures;
- Assist in the coordination of the ASO liaison with other UPU groups and the preparation of meetings.
QUALIFICATION AND SKILLS REQUIRED
Education:
Achieved secondary education or vocational training (Swiss CFC or similar) with commercial/sales or other related training
essential.
Experience:
At least 4 years of experience in administrative or sales or marketing or business activities
Technical knowledge:
- Knowledge of sales and traditional administration tasks
- Knowledge of marketing related techniques
- Knowledge of customer relations management
- Knowledge of addressing and post code systems, of geographical information systems would be an asset
- Office tools - Advanced Skills in Word, Power Point and Excel
Skills and abilities / competencies:
- Business-oriented and flexible
- Ability to concentrate on and analyse large scales of data
- Ability to be rigorous in working with details
- Ability to understand technical problems and to communicate with all stakeholders
- Strong interest in administrative/geographical related information
- Good communication skills both oral and written to sustain cooperation with member countries and customers
Language skills:
Proficiency in English or French is required. Knowledge of the other language would be an advantage.
Additional Information:
This is a non-core post. This position will be in full compliance with the "Rules governing non-core staff".
The selected staff will participate in the UPU Provident Scheme and will be insured together with their recognized dependents against the risks of sickness and accidents.

This is a one year contract which can be renewed if the services continue to be required in the future, the funds are available and/or the staff member's performance is satisfactory. However, this appointment does not automatically carry any expectancy of extension or renewal or of conversion to any other type of appointment.
